Terms and conditions.

1.     Definitions

Coaching: The term ‘coaching’ as used within these Terms covers career coaching and business coaching for clients and where applicable includes mentoring provided for clients, coaches or others. Coaching is not psychological counselling or any type of therapy and should not be construed as such.

Client: The individual participating in a coaching session/s with our approved coaches.

2.     Responsibility & Commitment

Michelle Mellor’s Career Coaching will aim to enable you, our client, to set and achieve goals that will help to bring about desired outcomes. You have sole responsibility for any decisions you may make as a result of the coaching you receive.

3.     Coaching Procedure

A schedule of coaching sessions will be agreed in advance of booking any sessions. This will be based on our recommendation however is not binding and can be altered throughout our coaching journey together. Altering sessions should be in line with the below section headed “Rearranging Sessions”.

Sessions are usually 2 hours in length, however this can be discussed and amended to suit prior to committing to the coaching.

Coaching can take place in a number of ways – face to face at a venue that is convenient for both parties, via Zoom, via Teams or via telephone call. The best method of delivery will be discussed prior to committing to the coaching.

Ongoing support will be available between sessions by phone or email and will usually be considered part of the coaching process. Should an additional charge be likely to be incurred, the coach will make you aware of this and the charge will be agreed in writing between both parties prior to payment being requested.

Depending on the coaching being carried out, some tasks or assessments may be set for you to complete before a follow up session. You will be responsible for ensuring any such tasks are completed and submitted at least 24 hours prior to a session to allow the coach to prepare feedback prior to the session. Not completing requested tasks could result in a planned session not delivering the desired outcomes.

4.     Booking Coaching Sessions

Dates and times of sessions will be discussed and agreed by both parties and confirmed via email.

We understand that from time to time circumstances beyond our control happen. So, if you are going to be late for a session, you need to notify your coach. Usually the amount of time you are late will be deducted from the time available for the session. However, if a session needs to be rescheduled this can be discussed.

You need to ensure you are prepared for your session. If you want to take notes, have a pen and notebook ready.

Sessions should not be recorded unless both parties have agreed to this in writing prior to booking in the sessions.

We expect you to take an active part in each session and complete any agreed tasks. The success of your coaching will be based on your commitment and effort throughout the process.

5.     Out of Hours Sessions

We understand that some of our clients work during normal business hours. Therefore, we do offer limited out of hours sessions which can be discussed with your coach. These sessions are limited and need to be booked at least 2 weeks in advance, subject to availability.

We cannot guarantee when rearranging or cancelling a booked out of hours session that there will be availability to rebook at the same time.

6.     Rearranging/Cancelling Sessions

We will endeavour to be flexible and work around our client’s schedules. Therefore we request that if you need to rearrange or cancel a session, that you give at least 24 hours’ notice. No refunds will be given for sessions unless a minimum of 24 hours’ notice has been received and acknowledged by us.

The rearranged/cancelled session should be rebooked at the time of requesting the amendment be made to the original session schedule.

In exceptional circumstances we may need to rearrange a coaching session. Should this occur we will give you at least 24 hours’ notice and seek to provide a mutually convenient alternative session.

7.     Fees and Payment Terms

All fees will be discussed and confirmed in writing prior to you confirming any bookings. Fees quoted will cover the number of sessions recommended by your coach and will include time for additional support. Should any additional fee be likely to be incurred, this will be confirmed and agreed in writing.

Fees can be paid by bank transfer and receipt of monies will be acknowledged in writing in the form of an invoice/payment receipt notification.

All fees are payable in advance of your first sessions unless otherwise agreed in writing. Until payment has been received, pre-booked session times will not be guaranteed.

In some instances an instalment payment plan may be available. This would be agreed in writing and direct debit payments would need to be set up for agreed amounts and frequency. Any changes to booked sessions would not affect the instalment amount or frequency agreed.

8.     Refunds

Refunds will only be issued if the correct cancellation procedure has been followed and no alternative session can be booked.

If any sessions have been carried out prior to the refund request being made, the cost of these sessions will be deducted from the amount paid for the coaching programme.
